02What data we collect
Contact form. When you send an enquiry, we process the data you enter: your full name, e-mail address and, optionally, company name, phone number, pick-up and delivery locations, cargo type and the content of your message.
Direct contact. If you e-mail or call us, we process the data from that correspondence or call, in particular your name, e-mail address, phone number and message content.
Technical data. The server hosting the website automatically logs basic connection details such as IP address, date and time of the visit, browser type and the page visited.
03Purposes and legal bases
- Answering your enquiry and preparing a quote — based on the consent you give in the form (Art. 6(1)(a) GDPR) and on steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR).
- Business correspondence when you contact us on behalf of a company — our legitimate interest in communicating with business partners (Art. 6(1)(f) GDPR).
- Entering into and performing a transport or forwarding contract if you decide to work with us (Art. 6(1)(b) GDPR).
- Complying with legal obligations, in particular tax and accounting obligations (Art. 6(1)(c) GDPR).
- Establishing, pursuing or defending legal claims (Art. 6(1)(f) GDPR).
- Keeping the website secure and working properly — server logs (Art. 6(1)(f) GDPR).
We do not make automated decisions about you and do not profile you.
04Retention period
- Enquiries that did not lead to cooperation — for 12 months from the last contact, so we can pick the conversation up again or answer questions about a quote.
- Client and partner data — for the duration of our cooperation, then until claims become time-barred and for the period required by tax and accounting law (generally 5 years from the end of the year in which the tax obligation arose).
- Data processed on the basis of consent — until you withdraw it, but no longer than stated above.
- Server logs — for the period set by the hosting provider, usually no longer than a few weeks.
05Recipients of data
Your data may be entrusted to service providers that process it only on our instructions:
- the website and e-mail server hosting provider (webd.pl),
- the cookie consent management provider (CookieYes, Mozilor Ltd.),
- providers of fonts and libraries used to display the website (Google Fonts — Google Ireland Ltd.; cdnjs — Cloudflare, Inc.), which receive your IP address when the files are downloaded,
- providers of accounting, legal and IT services,
- carriers and logistics partners — to the extent necessary to carry out the transport you ordered.
Data may also be disclosed to public authorities where required by law.
06Transfers outside the EEA
Some providers (Google, Cloudflare) may also process data, including IP addresses, in the United States. This takes place on the basis of the European Commission's adequacy decision on the EU-US Data Privacy Framework or standard contractual clauses approved by the Commission. CookieYes (Mozilor Ltd.) operates in the United Kingdom, for which the European Commission has issued an adequacy decision.
07Your rights
You have the right to:
- access your data and receive a copy of it,
- have inaccurate or incomplete data rectified,
- have your data erased,
- restrict processing,
- data portability,
- object to processing based on our legitimate interest,
- withdraw your consent at any time — without affecting the lawfulness of processing carried out before the withdrawal.
To exercise these rights, write to office@everroute.eu. You also have the right to lodge a complaint with the President of the Personal Data Protection Office in Poland (Prezes UODO, ul. Stawki 2, 00-193 Warszawa, uodo.gov.pl) or with the supervisory authority in your country of residence.
08Providing data
Providing your data is voluntary. However, without the fields marked with an asterisk in the form we will not be able to answer your enquiry. Providing data is necessary to enter into and perform a contract.
09Cookies
The website uses only cookies and similar technologies that are strictly necessary for it to work. We do not use analytics or marketing cookies.
